Description
This guide provides step-by-step instructions for joining meetings using the Teams Panel in the designated conference room (Endowment Room), whether for scheduled or ad hoc sessions. It also explains how to operate the room’s control panel, including projector setup, audio control, microphone configuration, and camera adjustments. Troubleshooting tips are included to help resolve common connectivity and display issues quickly. For any other issues please contact IT (620-640-1948).
Joining A Meeting
Ensure that the Teams Panel is turned on, the power button is located beneath the screen on the wall mounted unit:
- Start A Scheduled meeting - Tap the scheduled meeting on the Teams Panel to begin
- Join Ad Hoc Meeting - Tap "Join with Meeting ID" or "Start New Meeting" on the Teams Panel
Control Panel Functions:
The wall mounted control panel (located underneath the board members' pictures) manages the projector, cameras, microphones, and room audio. To turn on press anywhere on the screen.
- For projector use, toggle on the button that says "Projector Power".
- To use the HDMI port on the pillar, choose "HDMI 1". Set the input source to "HDMI 2" if you're connecting a device at the wall plate toward the front right, next to the projector screen.
- To use the Teams functionality, simply choose "Microsoft Teams"
To turn the volume up or down, tap on the first option on the home screen that says "Audio".
- Conference Mics: Controls the gooseneck microphones stored in the cabinet.
- Wireless Handheld, HDMI, and Room Audio: All can be adjusted from this screen.
You can also control the cameras from the touch panel:
- Use the arrow buttons to adjust positioning.
- Switch between the "Crowd" (front-facing) and "Main" (podium-facing) cameras using the dropdown menu on the top bar.
Troubleshooting tips
Screen Not Displaying?
- Try switching inputs to either "Teams" or "Laptop (HDMI)"
- Wait 5–10 seconds for the screen to respond.
No Image Showing?
- Check that your device is powered on.
- Unplug and reconnect the HDMI cable or restart your device.
- Make sure the source end of the HDMI cable is plugged into your device, and the other end labeled "input" is connected to the wall port.
